This page is about the agreement, not the inspection. If you manage dozens or hundreds of doors, ordering mold testing one address at a time is the expensive way to buy it. A standing vendor agreement fixes rates, fixes turnaround expectations, puts one person on your account, and lets your team open a job without a procurement conversation every time.
We test only. No remediation, no bids, no referral fees from remediation contractors. Across a portfolio that becomes structural: every report you accumulate over the years is from a party with nothing to gain from what it says, which is the state you want your file in the one time it gets examined.
Portfolio and multi-unit work is priced on volume rates, quoted against your actual door count and geography. Net 30 for established accounts.
What a standing agreement covers
A portfolio agreement is a short document. It sets six things.
Fixed rates by job type. Standard unit assessment, turnover clearance, common area or whole-building scope, and post-remediation verification, each at a set price rather than a quote per occurrence. Your team stops asking what it costs and starts just ordering it.
Cluster and mobilization terms. The largest single cost driver in portfolio work is drive time and setup, not sampling. Units batched into one trip cost materially less per unit than the same units ordered on six separate days. The agreement defines what qualifies as a cluster, and your coordinator learns to batch, which is where most of the savings actually come from.
Turnaround commitments. Standard scheduling window from request to site visit, laboratory turnaround, and report delivery. Plus a defined rush path with its price, so an urgent job is a checkbox rather than a negotiation.
Authorization limits. Who on your team can open a job, up to what dollar amount, without a separate approval. This is usually the single biggest time saver, because it removes the manager from every routine order.
Delivery and format. Where reports go, in what format, whether they are addressed to your office, an owner, or a carrier, and whether they get uploaded to your system or emailed.
Terms and invoicing. Net 30, invoice format, PO or work order reference on every invoice, consolidated monthly billing if you want it, and per-property cost coding so your accounting does not have to allocate manually.
Volume rates and how they are built
Volume pricing here is not a discount for its own sake. It reflects real cost differences.
| Driver | Effect |
|---|---|
| Units batched per mobilization | Largest single savings. Drive time and setup amortize across units |
| Geographic density | Portfolios concentrated in Spokane, Spokane Valley, Coeur d'Alene or Post Falls price better than scattered ones |
| Predictable scope | A repeatable standard assessment prices better than bespoke scoping each time |
| Annual volume | Committed volume supports a lower standing rate |
| Scheduling flexibility | Jobs we can slot into an existing route cost less than jobs with a fixed date |
| Consistent access | Failed entries cost a slot. Reliable access is worth money to both of us |
Base reference points before volume adjustment: small commercial or single unit under 5,000 square feet at $650 to $950 depending on sample count, larger and multi-unit scope quoted at roughly $0.10 to $0.20 per square foot plus per-sample, additional samples at $100, clearance quoted by containment count, and rush 24 hour laboratory turnaround at $100.
Send a door count, a property list with addresses, and your typical annual test volume. We will return a rate sheet, not an estimate.
Scheduled turnover testing
Most portfolios test reactively, when a complaint arrives. The portfolios with the cleanest files test on a schedule, and it costs less than the reactive version.
The turnover trigger. Any unit with a water event during the tenancy gets tested before the next lease starts. Not tested if someone remembers, tested as a step in the turn checklist. Drying removes water. It does not undo growth that established while material was wet, and it does not confirm that wet material behind a finish was ever reached. A documented clean unit at move-in is far more defensible eleven months later than any argument constructed after a dispute begins.
The move-in baseline. For units with known history, a baseline at lease start is the most valuable single document in the file. It converts a future he-said-she-said into a comparison.
The annual common area pass. For buildings with crawlspaces, below-grade parking, shared laundry, or a history of roof or plumbing issues, one scheduled pass a year catches the slow failures. Most of the expensive multifamily losses we document started as something that was visible for a long time before anyone looked.
Building the trigger into your turn checklist is the whole trick. Testing that depends on someone deciding to order it does not happen consistently, and inconsistency is what makes a portfolio file look arbitrary in hindsight.
One point of contact
A named contact on our side who knows your portfolio, your properties, your access quirks, and your reporting format. Your coordinator sends a unit list and gets a schedule back. No re-explaining the account, no re-quoting standard work, no discovering on arrival that a property has a lockbox system nobody mentioned.
Practically that means:
- One email address and one phone number for scheduling across every property
- A property profile we maintain: access method, on-site contact, known history, prior reports, any recurring condition
- Consistent method and report format across every job, which matters when reports from three different years are read together
- The same technician wherever scheduling allows, because familiarity with a building is worth more than it sounds
- Consolidated monthly invoicing with per-property cost coding if you want it
Turnaround you can plan against
| Item | Standard |
|---|---|
| Request to scheduled visit | Typically 1 to 3 business days, faster for account holders with route flexibility |
| Time on site, single unit | 1 to 2 hours |
| Time on site, larger or complex property | 3 to 4 hours |
| Clearance visit | 45 to 60 minutes |
| Laboratory results | 1 to 3 business days |
| Written report | Within one day of laboratory results |
| Rush laboratory | 24 hours, add $100 |
Restoration containment work gets priority scheduling, because we know what an idle containment costs in equipment rental and crew time. Tell us at booking if a lease start date or a board meeting is driving the timeline and we will tell you honestly whether the date is achievable before you commit.
What every job includes, regardless of volume
Volume pricing does not change method. Every assessment includes:
- Air sampling with a calibrated pump drawing a measured volume through an Air-O-Cell or Allergenco-D spore trap cassette, analyzed by an accredited laboratory using direct microscopic examination
- An outdoor control at every property, every visit. Outdoor air always contains mold spores. Elevated means elevated relative to outside, same property, same day. An indoor number with no baseline supports no conclusion, and across a portfolio a consistent baseline practice is what makes older reports still usable years later
- Surface sampling by swab or tape lift to confirm whether visible growth is fungal
- Moisture mapping with pin and pinless meters
- Thermal imaging for temperature differentials behind intact finishes
- Borescope inspection of wall cavities and chases where warranted
- Psychrometrics: temperature, relative humidity, dew point, indoors and outdoors
- Written report with photographs keyed to locations, raw laboratory data, chain of custody, and stated method and limitations
Post-remediation verification is evaluated against IICRC S520, the industry standard for professional mold remediation.
Ground-contact units carry the exposure.
The regulatory and market context you are operating in
Washington's Residential Landlord-Tenant Act, RCW 59.18.060, requires landlords to maintain the premises and to provide tenants with written information about the health hazards of indoor mold, and RCW 59.18.070 sets response windows once written notice is given. Neither requires testing, and neither Washington nor Idaho sets a numeric limit for airborne mold. Testing is dispute-driven and evidentiary, which is precisely why the quality and consistency of the record matters more than any single result.
Washington's Department of Health states plainly that there are no certification requirements for mold work in the state and that anyone can call themselves a mold specialist without training or credentials. Idaho licenses neither mold work nor home inspection. Nearly every firm marketing mold testing in this market also sells the remediation, which means finding a problem generates revenue for them and finding nothing does not. New York banned that arrangement under Labor Law Article 32. Washington and Idaho have no such rule, so independence here is a choice we made and put in writing.
We also keep health language accurate across every report, which protects your file. CDC has never established a causal link between Stachybotrys and serious illness, and says no test proves an association between a specific mold and particular health symptoms. Documented effects are allergic reaction, asthma triggering and upper respiratory irritation in sensitive people, plus serious infection risk in the severely immunocompromised. Reports that overclaim create exposure for the owner rather than reducing it.
Questions management companies ask
What is the minimum volume for a portfolio rate? There is no hard floor. Send your door count and property list and we will tell you what it prices at. Geographic density matters as much as raw count.
Can our maintenance supervisors open jobs directly? Yes, up to whatever authorization limit you set in the agreement. Most accounts set a standing limit for routine assessments and require manager approval above it.
Can you invoice owners directly? Yes, or your office, or a carrier, per property. Tell us the billing map when we set up the account.
Can you meet our insurance and vendor onboarding requirements? Yes. Send the vendor packet, certificate language and any additional insured requirement and we will complete it before the first job.
What happens if a tenant refuses entry? That is your notice process, not ours. Flag likely refusals in advance so we hold the slot rather than lose the day.
Do you work with our restoration contractor? Yes, and we schedule around active containments. We have no financial relationship with any remediation firm in either market, which is what makes the clearance meaningful.
